Safety organising a Trip?
Please note in the event of a society organising a trip under University insurance and in consultation with the Insurers all society trips must be limited to staff and students of the university who are members of the society. if you are coorganising a trip with another college but the you are the main organiser you must get a letter of insurance indemnity from the other colleges insurance.
it is also your responsibility to make sure any transport you are using are fully insured. Please check the bus list for companies who have already furnished insurance details. if you are using another company please ask them for a letter of proof of insurance and hand it to the socsbox and it will be given to our insurers.
If you are going on a trip organised by an external group they must furnish a letter to show thwey have insurance and public liability for the trip before your members go on the trip.

Download the relevant form and personalise it for your own trip make sure you are also covering any health issues specific to your trip. Print 2 copies one for you and one to put on file in the socsbox both for your file and to use as the sign up sheet for your members. A copy of the filled signup sheet must be put in your file at the socsbox and take a copy with you on the trip. If you are selling any tickets outside of the socsbox members must sign the form and the completed form must be returned to the socsbox before the trip. Print out an itenary to give to all of your members travelling with the phone number of the trip organiser and the safety officer.

If any of your members travelling are under 18 they are classified as children they will need a parental concent form signed and returned to the socsbox download the form here Persons under 18 should always be in groups of at least 3 fellow students/ staff on the trip. Familiarise yourself with the legal age afor consuming alcohol in what ever country you are attending the legal age may be over 18. Do not have members who are under 18 drinking alcohol while on a society trip it is against the law and you are responsible for their safety as trip organisers.
